Licensing notice Kadyan Paygate India (OPC) Private Limited holds an NPCI Agent Institution licence for Bharat Connect (BBPS). This is the only licence we hold. We are not licensed or regulated by the Reserve Bank of India. Prepaid cards are issued by our RBI-licensed partner banks and issuers, and customer funds are held by those partners, not by us. Corporate expense management

The limit should hold before the money leaves.

Reimbursement is a policy applied too late. Put the rule on the card instead — budgets, categories, merchants and geographies enforced at the moment of authorisation — and a spend outside policy simply never goes through.

Why it is different

Control at authorisation, not at month end.

Most expense software watches money after it has been spent. We sit in front of the transaction. When a card is tapped, the policy runs before the bank says yes.

Rules live on the card

Budgets and categories are checked in the authorisation flow. Nothing to approve after the fact, nothing to claw back.

Receipts before the car door closes

The cardholder gets a prompt the second the swipe clears. Photograph the bill, done. It matches itself to the transaction.

A close that is already closed

Every line carries cost centre, GST fields and approval trail. Finance exports it; nobody reconstructs it.

Every feature

What is in the box.

Everything below ships with the expense product. There are no tiers that hold back controls.

Controls

Budgets by person, team, trip or cost centre

Set a total, a daily cap, and an expiry date. Budgets can be recurring (monthly fuel) or one-off (a conference trip) and can be topped up mid-period with approval.

Controls

Merchant category and merchant-level rules

Allow fuel and tolls, block bars and electronics, or whitelist a single vendor. Rules apply at every authorisation, online and offline, and can differ by team.

Controls

Geography and time-of-day limits

Restrict a card to a city or state, or to working hours. Useful for field teams and for cards issued to contractors.

Controls

Per-transaction caps and velocity limits

Stop a single swipe above a threshold, or more than a set number of swipes in an hour. Both help catch a card that has left the right hands.

Controls

Instant freeze and unfreeze

From the console, the app, or the API. A frozen card declines everywhere within seconds and can be unfrozen just as fast.

Controls

Approval workflows for exceptions

Let a manager approve a one-off overage from their phone. The approval is logged against the transaction.

Receipts

Capture at the point of spend

A push notification asks for the receipt the moment the transaction clears. Photo, PDF or forward-by-email are all accepted.

Receipts

Automatic matching and OCR

Receipts are read for amount, date, merchant and GST number, and matched to the transaction. Mismatches are flagged, not silently accepted.

Receipts

Missing-receipt nudges

Cardholders are reminded on a schedule you set. Persistent gaps can automatically pause a card until the receipt arrives.

Finance

Cost centres, projects and tags on every line

Assigned by rule (this card always books to SLS-04) or by the cardholder at capture. Tags flow straight into your export.

Finance

GST-ready detail

Vendor GSTIN, invoice number, taxable value and tax split captured where the receipt provides it, so input-credit claims are not rebuilt by hand.

Finance

Exports for Tally, SAP, Oracle, Zoho

Scheduled or on demand, in the formats those systems accept. Or pull the same data over the API into your own warehouse.

Finance

Real-time spend dashboards

Spend by team, category, merchant and person, against budget, updated as authorisations happen — not after the statement.

Finance

Statement that reconciles

Loads, spends, reversals and fees on one statement with references that match your bank and the issuing partner. Tied out, every month.

People

Cardholder app

Balance, limits, recent spend, receipt capture and card freeze in one screen. Works in Hindi and English.

People

Bulk issue and load

Upload a list of employees, issue virtual cards in minutes, and load them from one funding account. Physical cards follow within days.

People

Contractors and temporary staff

Cards with an end date that expire on their own. Unused balance sweeps back to the funding account automatically.

People

Role-based console access

Admins, approvers, finance viewers and auditors each see what their role needs, with maker-checker on every money movement.

How it works

From policy to first swipe.

1

Write the policy, once

Who gets a card, what they may spend on, how much, where, and who approves exceptions. We turn it into rules in a working session.

2

Issue and load

Upload the employee list, issue virtual cards immediately, load them from your funding account. Physical cards are printed and despatched.

3

Spend, with the rule in the loop

Every authorisation runs the policy. Allowed spends clear and prompt for a receipt. Disallowed spends decline politely with a reason on the cardholder's phone.

4

Close, without chasing anyone

Receipts are matched, lines are tagged, and the statement is exported. The month closes on the first, not the tenth.

Who uses it

Built for how Indian companies actually spend.

Field sales and service teams

Fuel, tolls, meals and lodging by route, with daily caps that hold across three hundred kilometres and a receipt captured at the pump.

Distributed branches and plants

A card per site for local purchases and petty cash, replacing imprest accounts and the monthly envelope of bills.

Head-office teams

Subscriptions, travel and vendor payments with a card per department and a cost centre already attached.

Logistics and fleet

Driver cards restricted to fuel and toll categories, per-vehicle budgets, and FASTag recharges on the same platform.

Events and marketing

Time-boxed cards for a campaign or a conference that expire when it ends and sweep the balance back.

Contractors and gig workforces

Controlled cards for people who are not on payroll, with limits and an end date, without opening a bank account.

Straight answers

Questions finance teams ask.

Where does the money sit?
In a prepaid instrument issued by our RBI-licensed partner bank or issuer, funded from your company's verified bank account. Kadyan Paygate India never holds your funds. Unused balances return to that same account.
What happens when a swipe is declined?
The cardholder sees why on their phone — 'outside fuel category', 'daily cap reached' — and can request a one-off approval from their manager if your policy allows it. Nothing is silently blocked.
Can employees see their own spend?
Yes. The cardholder app shows balance, limits, recent transactions and outstanding receipts. Managers see their team; finance sees everything.
Does it replace our expense software or work with it?
Most clients replace it, because the card removes the claim process the software existed for. If you keep a system for non-card expenses, we export to it.
What about spends that cannot go on a card?
Vendor invoices and payroll are not expense-card use cases. Bill payments for utilities, however, are — see our bill payments product, which runs on the same platform.
